This is a non-personal services contract to provide administrative and specialized support to the Office of the Under Secretary of Defense for Research and Engineering (OUSD(R&E)), including the USD/DUSD(R&E) Front Office, and the Office of the Director of Defense Research and Engineering for Research and Technology (ODDR&E for R&T) Front Office.



Travel Coordinator/Workflow Administrator shall provide support and quality customer services for the Office of the Under Secretary of Defense Research and Engineering and components within the OUSD(R&E). y shall manage the day-to-day activities of the office; maintain a professional work environment by knowing Senior Executive Service protocols; plan and schedule meetings, appointments and conferences; interact with the public, receive visitors to the office; coordination and preparation of official government travel using the Defense Travel System (DTS); organize and maintain files and records; mail processing; and monitor the Correspondence and Task Management System (CATMS) tracking system. Qualified Individuals shall have an expert knowledge of the following tasks and in scenarios where there are multiple EAs in an office be assigned as a primary and a back-up with cross-training to allow for maximum coverage:

  • Travel Preparation and Coordination
    • Develop options and recommendations for travel itinerary and logistics
    • Develop a travel preparation and coordination checklist
    • Create and amend (as appropriate) authorizations (orders), and vouchers (local and non-local) in Defense Travel System (DTS)
    • Prepare Trip Books
    • Prepare for International Travel
    • Maintain a Travel Tracker Report
  • Workflow Administration: Review reports and associated correspondence packages for completeness, structure, content, and format; ensure sufficiency of product (i.e., that the product is responsive to the originating request); review products for clarity and readability; maintain awareness of all tasks within the organization, proactively seek out the status of each task, and engage throughout organization to drive tasks to timely completion; analyze information from a variety of acquisition and program sources; draft, review, and edit documents and preparing reports


Security Clearance: Top Secret

  • Top Secret, ability to obtain and maintain SCI
  • Bachelor’s degree from an accredited college or university, at the discretion of the Government, specialized experience including military or industry executive assistant experience may be substituted in lieu of specific educational requirements.
  • A minimum of ten (10) years of recent and relevant experience is required for contractor support
  • Demonstrated experience providing timely and high-quality support to Executive-level Principals in a complex and fast-paced environment requiring a high-degree of critical thinking, initiative, problem solving, and professional judgment.
  • Experience and skills in providing correspondence management and coordination management support
  • Advanced skills in Microsoft (MS) Office applications to include MS Outlook, MS PowerPoint, MS Word, and MS Excel.


  • DCID 6/4 eligibility within the last five (5) years are highly desired
  • Experience and skills in providing Executive Level Administrative Assistant support to Senior Executives in the Government, Military (DoD Flag / General Officers), or Private Sector (required for support to OUSD(R&E), R&T, and AC Front Offices)
  • Background in NARA requirements for records management is highly desirable
